Getting Started

How do I create my first project?

After signing in, click the "Create New Project" button on your dashboard. Give your project a name, upload your LaTeX .zip file, select a citation style, and click "Convert". Your converted files will be ready in about 60 seconds.

What file formats do you support?

We accept complete LaTeX projects packaged as .zip files. Your project should include .tex files, .bib bibliography, and any images (PDF, PNG, JPG, EPS). We output both .docx (Microsoft Word) and JATS XML files.

How long does conversion take?

Most conversions complete in under 60 seconds. Very large manuscripts (200+ pages) or those with hundreds of images may take 2-3 minutes. You'll see real-time progress updates during conversion.

Can I try ScholarConverter before paying?

Yes! Every new account gets 3 free conversions with no credit card required. This lets you test the service with your actual manuscripts before subscribing.

File Preparation

What should I include in my .zip file?

Your .zip should contain: (1) All .tex files, (2) Your .bib bibliography file, (3) All images/figures, (4) Any custom style files (.sty, .cls). Make sure the main .tex file is at the root level of the zip.

My .zip file is too large. What can I do?

The maximum file size is 500 MB. If yours is larger: (1) Compress images to lower resolution, (2) Remove unnecessary files like .aux or .log, (3) Split very large manuscripts into separate projects for each chapter.

Which image formats work best?

We support PDF, PNG, JPG, JPEG, and EPS. For best quality, use: PDF for vector graphics (charts, diagrams), PNG for screenshots, and JPG for photographs. Aim for 300 DPI resolution for publication quality.

Do I need to include .bib files?

Yes, include your .bib file if you want citations formatted properly. Make sure every \cite{} command in your .tex corresponds to an entry in your .bib file.

Conversions & Output

What is JATS XML and do I need it?

JATS (Journal Article Tag Suite) is the standard XML format used by PubMed and many publishers. If you're submitting to journals that accept or require XML, use our JATS output. Otherwise, the .docx file is what you need.

Can I edit the Word document after conversion?

Absolutely! The .docx output is a fully editable Microsoft Word document. You can make final adjustments, add comments, track changes, and share it with collaborators just like any Word file.

How are citations formatted in the output?

Citations are formatted according to the CSL style you selected (e.g., APA, Nature, Chicago). They appear as plain text in the Word document, ready for submission.

Can I convert the same manuscript again?

Yes! You can convert the same project multiple times (each uses one conversion credit). This is useful when you make edits to your LaTeX source and need a fresh Word version.

Account & Billing

How do I upgrade my plan?

Go to Dashboard > Billing and click "Upgrade Plan". You can switch between Researcher ($15/mo) and Academic Lab ($99/mo) plans at any time. Your next billing cycle will reflect the new price.

What happens when I run out of conversions?

On the Researcher plan (20 conversions/month), you'll need to wait for your monthly reset or upgrade to Academic Lab (unlimited). We'll send you email notifications when you're running low.

Can I cancel my subscription?

Yes, you can cancel anytime from Dashboard > Billing. You'll retain access until the end of your current billing period. No refunds for partial months, but you can reactivate later.

Do you offer discounts for students?

We offer educational discounts on Lab and Institution plans. Contact us at appsparktechnologies@gmail.com with proof of academic status to discuss pricing.

Troubleshooting

I'm getting a "Missing main.tex" error

Your .zip must contain a main .tex file at the root level (not in a subfolder). Common names are main.tex, manuscript.tex, or paper.tex. Make sure it's not nested inside another folder.

My images aren't showing up in the output

Check that: (1) All image files are included in your .zip, (2) Image paths in your .tex match the actual filenames exactly (including extensions), (3) You're using relative paths, not absolute ones.

Bibliography isn't rendering correctly

Make sure: (1) Your .bib file is included, (2) All citations in your text have corresponding .bib entries, (3) You've selected a citation style, (4) Your .bib file doesn't have syntax errors.

Conversion failed with a timeout

This happens with very large files (500+ pages). Try: (1) Splitting your manuscript into chapters, (2) Reducing image file sizes, (3) Removing unnecessary packages. Contact support if issues persist.

Security & Privacy

Is my manuscript data secure?

Yes. All data is encrypted in transit (SSL/TLS) and at rest (AES-256). Only you can access your projects. Files are automatically deleted 30 days after upload unless you delete them sooner.

Who can see my uploaded files?

Only you and any team members you explicitly share projects with (Lab plans only). Our staff cannot access your files except in rare cases when you request support and explicitly grant permission.

Do you keep my files after conversion?

Yes, for 30 days. This allows you to re-download outputs or create new versions. After 30 days, files are permanently deleted from our servers. You can manually delete them anytime from your dashboard.

Can I export all my data?

Yes. Go to Dashboard > Account Settings and request a data export. You'll receive a .zip containing all your projects, conversion history, and account data within 24 hours.
